Microsoft Excel Shortcuts Trivia Quiz

Many people like using the mouse when navigating in Excel, but I prefer the keyboard whenever possible. Here's a quiz on some of the shortcuts available using the ALT key. I've been using these from Excel '97 to Excel 2013.

Quiz Answer Key and Fun Facts
1. You open up your Excel document and want to save it under a different name so you don't overwrite the original. Which of these sequences gets you on your way?

Answer: ALT F A

Depending on your version of Windows, ALT F A will either take you to the 'Save As' dialogue box and let you rename your document right there, or it will take you to where you can select the directory to save it in.

ALT F S will allow you to save the document under the current name but won't let you change the name. There are no shortcuts beginning with ALT S.
2. You have a table full of data and wish to sort it. After highlighting the table, what keystrokes will take you to the sort menu?

Answer: ALT D S

Improved sorting capability is one of my favorite features in newer versions of Excel. In older versions you were limited to only being able to choose three columns to sort on. In later versions you can keep adding columns.

ALT I S will allow you to insert a special character or symbol. ALT T S will spell check. No keyboard shortcuts start with ALT B.
3. You are in a cell that you want to format in a special way. How can you get to the cell formatting menu?

Answer: ALT O E

The cell format menu allows you to format numbers, align text, change the font, add borders, add a color to your cell, and protect the selected cell(s) so other users can't make changes.

ALT N F allows you to insert a picture. ALT I F inserts a function into the cell such as an IF statement, SUM, various string functions and many others.

ALT O F is not a valid shortcut.
4. You have data that you would like to filter into one or more columns. What keystrokes can you use to put the filter icons on the page?

Answer: ALT D F F

Select your full table, or just the top row of the columns you want to filter on, and type ALT D F F. If you type ALT D F F without selecting anything, it will filter across the top row until a blank cell is found. If there is already a filtered selection, ALT D F F will remove the filter. Filtering is useful when you only want to view a limited number of records in a large table.

ALT D D D allows you to select an outside data source for your file. ALT D D F doesn't do anything while ALT D F will wait for another keystroke because it still needs one more F to filter.
5. You want to find a piece of text in your document and replace it with something else. How do you get to the find menu?

Answer: ALT E F

Once you get to the find menu, there are two tabs, one to find a specific string of text and one to replace it. You have the option of replacing the string one time or replacing it every time it appears in the document. You can also find the next instance of the string in case the first one isn't the one you want to change.

ALT F R allows you to open a recently used file. ALT E R and ALT F F are not default keyboard functions.
6. Let's say you have a large document with lots of rows and columns. You want to freeze the top row and the left hand column. After placing your curser in cell B2, how do you accomplish this?

Answer: ALT W F F

ALT W F C freezes just the first column and ALT W F R just the first row. ALT W F S doesn't do anything.

Freezing the first row(s) and/or column(s) can be very useful with a large document as it allows you to scroll down but still see the column headers at the top of the page and/or the identifier for each row as you scroll across. To unfreeze the document just type ALT W F F again.
7. You've copied a cell and want to use the paste special function. Which of the following keystrokes allow you to accomplish this?

Answer: ALT E S

The paste special function is useful as it allows you to copy one or more attributes of a cell without copying the whole cell. Some of these include formulas, values, and formats. This can be from one cell to another or to the same cell you copied from! For example, if a cell has a formula in it and you want to hardcode the current result of the formula, you can copy the cell and then paste special and choose values.

ALT E C is a way of copying a cell. ALT E L deletes the current worksheet. ALT E M allows you to copy or move the current worksheet elsewhere in the document.
8. Which keyboard shortcut takes you to a menu which allows you to delete the selected rows or columns?

Answer: ALT E D

ALT E D takes you to a menu that allows you not only to delete the selected rows or columns but also to shift the just the highlighted section left or up without deleting the entire row or column.

ALT E G lets you select a specific cell to go to. ALT N D allows you to add a scatter chart to your document while ALT N G allows you to enter a signature line where someone can provide a digital signature.
9. Now you want to insert something into your document. Which of these shortcuts does NOT act as an insert function?

Answer: ALT I G

ALT I G isn't a recognized keystroke sequence. ALT I C, ALT I R, and ALT I W insert a column, row and worksheet respectively. Note that if you select multiple rows or columns you will insert as many rows or columns as you have selected if you use the appropriate function.
10. You are done with your document and are getting ready to print it out. Which of these will allow you to preview how the document will print out?

Answer: ALT F V

Previewing your document before printing will allow you to see how many pages it will print to, see where your page breaks will be, and make sure you haven't done anything like compressing a 20 page document into one page based on your print setting!

ALT P R allows you to set or clear the print area of a worksheet. ALT P SO and ALT P SP take you to the page setup screen where you can do many things such as scale your printout, change the orientation of the page, add a header or footer to each page, and a host of other things. Although ALT P SO and ALT P SP have similar functionality, they do take you to different tabs of the page setup screen. Older versions of Excel use ALT F U to get to page setup.
